GENERAL TERMS AND CONDITIONS

EUROPEAN AUTOMOTIVE EXPO

1. General Terms

These General Terms and Conditions (GTC) are intended to regulate relations and constitute a contract between:

• Abrites Italy SRL., called “the Organizer” or “Abrites” for short,
• Participants, also called “Exhibitors”,
• Attendees, referred also as “Visitors“

of EA Expo trade show (“The event”, “EA Expo”).

By registering for the event, you agree to be bound by these General Terms and Conditions and any subsequent changes to them and undertake to comply with them.

In view of periodic additions and modifications of the Event and its improvement and expansion, the General Terms and Conditions may be changed unilaterally by the Organizer.

Changes and additions to these Terms and Conditions become effective for all Visitors and Exhibitors on the day of posting.

2. Event Details

• Venue: Via Brondolo, 13/A, 30015 Chioggia VE, Italy
• Dates:

• Exhibition: October 26-27, 2024
• Training Sessions: October 23-25, 2024

3. Exhibitorregistration

Any company that wishes to participate in the Event must sign up by registering on the official event website. During registration, Exhibitors need to submit:

• Company name
• Email address
• Phone number
• Company logo /attached file/

Registration is mandatory to secure booth space and participation in the Expo.

The registration is considered successfully completed when the Exhibitor receives an email confirmation of successful registration to the email address indicated by him in the registration process.

4. Visitor registration

Visitors can choose from the following ticket options:

• One-Day Access Pass: €349, valid for one day of training (October 23, 24, or 25) and includes access to the exhibition on October 26-27.
• Full Pass: Valid for all three days of training (October 23-25) and includes access to the exhibition on October 26-27.
• Exhibition-Only Ticket: Free of charge, grants access to the exhibition on October 26-27. Visitors must still register to receive this ticket.

To register, Visitors must submit the following information:

• Name
• Email Address
• Billing Address

The registration is considered successfully completed when the Visitor receives an email confirmation of successful registration to the email address indicated by him in the participation request process.

5. Event Program

The detailed event program, including training sessions, workshops, and exhibitor presentations, is available on the official event website. Participants are encouraged to check the website regularly for updates.

6. Rights and obligations of the Organizer.

The Organizer undertakes:

1. To provide access to all Visitors who have filled registration form.
2. To notify Visitors in a timely manner when the date, time, place is changed.
3. To take due care to provide Visitors with the opportunity to safely conduct the event.
4. To assist Visitors to maximally satisfy their needs arising in connection with the event.

The Organizer reserves the right to:

1. Change the date, time and place of any event of the program, if it publishes a timely message on the website, as well as on the supported social networks.
2. Uses the e-mail specified by the Visitor, to send newsletters and invitations to other upcoming events.
3. If a Visitor does not wish to receive the information under item 2, it is necessary to send his refusal via email address vendite@abrites.it
4. Each Visitor registration is individual and non-transferable. When the Visitor does not have the opportunity to take advantage of his right to participate, he is obliged to notify the Organizer within 48 hours after the occurrence of the reason that prevents him from participating.
5. The Visitor could designate another Visitor to replace him and benefit from the right to participate. The specified person can benefit from the registration made after confirmation by the Organizer of the successful change in the list of Visitors.
   
   
   
6. Rights and obligations of the Visitor.

The Visitor undertakes:

1. Not to threaten the security, safety and comfort of other Visitors or representatives of the Organizer.
2. In the interest of maintaining a professional atmosphere, attendees must always wear appropriate apparel.

Visitor has the right:

1. To receive an access when filled registration form.
2. To be notified in a timely manner when the date, time, place is changed.
3. To be taken due care for safety conducting the event.

8. Rights and obligations of the Exhibitor.

The Exhibitor undertakes:

1. To provide the Organizer with all the information required regarding its company and the products to be exhibited.
2. To use the stand during the contractual period in accordance with these General Terms and Conditions and to staff it sufficiently during the event opening times (compulsory presence).
3. Exhibitors must coordinate all logistics with the Organizer, including stand setup, teardown, and transportation. They are responsible for insuring their own property and staff, and any damage caused to the event space must be compensated. If an Exhibitor cancels their participation or reduces their stand size, the Organizer may reallocate the space and charge the Exhibitor for any resulting costs. Exhibitors must fully dismantle their stands after the event.

Visitor has the right:

1. Exhibitors have the right to participate in the European Automotive Expo, utilize their assigned exhibition space to showcase products and services, and engage in promotional activities within the specified guidelines. They also have the right to access event amenities and services provided by the Organizer.

9. Sales and Advertising

Exhibitors may collect leads and accept orders at the event but cannot directly engage in sales transactions. Price displays are prohibited on the exhibition floor, within the event catalog, and on promotional materials.

Exhibitors must adhere to advertising guidelines, avoiding practices that disrupt other Exhibitors or Visitors. The Organizer reserves the right to regulate stand design and content to maintain the event’s overall aesthetic. Any promotional materials must comply with relevant laws and regulations. The Organizer may use event footage and images, including those featuring exhibitors, for promotional purposes. Exhibitors who wish to opt out of this must inform the Organizer in writing.

10. Safety and Security

Exhibitors are responsible for ensuring the safety of their stand, staff, and equipment throughout the event. This includes adhering to all applicable safety regulations, both local and those outlined by the Organizer. The Organizer reserves the right to conduct safety inspections and enforce corrective measures, including halting activities that pose a risk. Exhibitors are liable for any accidents, injuries, or property damage caused by their negligence or failure to comply with safety regulations.

11. Liability

Abrites will assume unlimited liability for any damage sustained by the Exhibitor only if such damage was caused by its intentional or grossly negligent conduct. In case of slightly negligent breaches of duty, Abrites will be liable only in case of breach of one of its essential contractual obligations – the fulfilment of which is deemed to be necessary for due and careful performance of the contract and on the observance of which the contracting party does and may regularly rely on. In this case, the liability of Abrites will be limited to the predictable, direct damage to the Exhibitor that is typical for this type of contract. This also applies to breaches of duty by legal representatives and/or vicarious employees of Abrites. Liability due to culpable injury of life, limb and health shall remain unaffected by this limitation of liability.

12. Intellectual Property

All intellectual property related to the event, including content, materials, and branding, is protected by law. Unauthorized use of this intellectual property by third parties constitutes a violation and may result in legal action.

The Exhibitor makes a binding and irrevocable declaration that the products exhibited by it are its own creation and trademarks or that they are admissible copies or imitations of other suppliers or other third parties. The Exhibitor also undertakes to respect the privileged property rights of third parties. If any such infringement of property rights is brought to the Exhibitor’s attention in an orderly manner while participating in the event, the Exhibitor undertakes in advance to remove the affected products from the stand.

The Organizer forbids activities to be carried out within the period of the event that would be defined as unfair competition or are in violation of European regulations related to Competition and Consumer law.

The Organizer shall not be liable in the event of such activities and such activities shall be resolved separately between the parties concerned.

13. Personal data and privacy.

The Organizer is a controller of personal data in accordance with the GDPR. In connection with making and confirming registration, as well as for messages to Visitors in accordance with Art. 6 para. 2 of these GTC, your personal data is processed under the terms of our Privacy Policy.

During the events – both training and expo, persons authorized by the Organizer take photos, audio and/or video recordings, which are used to cover the event in the media, social networks, as well as in the preparation of materials for the promotion of subsequent editions or other events with a similar thematic orientation.

By registering, Visitors expressly agree to this condition. If you do not wish to be filmed and/or recorded, please expressly notify the Organizer of your request.

14. ForceMajeure

The Organizer is not responsible for full or partial failure to fulfill its obligations in accordance with these General Terms and Conditions, because of force majeure.

The Organizer is not responsible for postponing, canceling, changing the venue of the event, its program or other details related to the organization and its implementation, insofar as the reasons for these depend on the actions of third parties and cannot be imputed to the Organizer’s fault.

If the event must be cancelled after it has begun due to force majeure or similar events, both contracting parties will be released from their obligation to perform from that time forward.

15. Final provisions.

The provisions of the legislation of the Republic of Italy shall apply to all issues not settled by these General Terms and Conditions.

The parties declare that in the event that any of the clauses under these General Terms and Conditions is/are invalid, this will not invalidate other clauses or parts thereof. The invalid clause will be superseded by the mandatory rules of law or established practice.

The Organizer reserves the right to make changes to these General Terms and Conditions at any time, promptly publishing these changes on the site, along with a notice of changes to the General Terms and Conditions.

Visitors, Exhibitors and users are responsible for following and promptly familiarizing themselves with changes to the General Terms and Conditions.
